About the Role

The Executive Assistant will be responsible for providing high level support to members of the executive team and other office members. Such is an opportunity to grow with the organization as they develop their Australian operation. Key responsibilities include:
  • Organize meetings and conferences for senior executive management, including booking venues, sending invitations, preparing agendas and meeting rooms and associated documentation.
  • Ensuring the stakeholders are prepared for all engagements, meetings, and necessary deadlines
  • Maintain senior executive management diaries including monitoring and managing the urgency and appropriate diversion of incoming correspondence.
  • Assist in any office management task including facilitating supplies and systems as well as maintaining general office cleanliness.
  • Prioritize and manage multiple tasks in a high-tempo environment and maintain composure under pressure.
  • Manage incoming office communications and forwarding accordingly.
  • Create and maintain files and documents in accordance with records management procedures
  • Support any office administration tasks that are assigned to you
  • Organising appointments as required including coordinating meetings/conferences and phone/video conferencing
  • Invoicing management
  • Setting up and managing meetings including monthly Senior Leadership team, team meeting, PCG meetings with state teams and Portfolio review meetings with landlords.
  • Organising and preparing all necessary documents/presentations for meetings, distribute agendas, invites, ensure meeting rooms are reserved with appropriate catering
  • Typing of correspondence including letters, memos, notes
  • Forward planning of travel as required in accordance with company guidelines and procedures
  • On boarding of new starters, when required
  • Coding expenses and reconciling monthly credit card statements
About You

It goes without saying that your work ethic will be second to none, your drive to see the business succeed will shine through in your eye for detail and execution.
  • 7+ Years’ experience in an Executive Assistant/Office Manager role.
  • Demonstrated experience and expertise in providing high level executive and administrative support.
  • Demonstrated high level computer skills including Microsoft Word, Excel, and PowerPoint, as well as other supporting systems such as HR, procurement, and records management systems
  • Experience supporting senior executives and calendar management.
  • Exceptional written and verbal communication skills
  • Solid organisational and time management skills especially whilst dealing with competing demands.
  • Professional and personable approach and ability to build strong and friendly working relationships
