About the Role
To provide high level administrative support to the rostering, deployment and The Hub teams. This is completed via data entry into the computerised rostering system, ensuring all changes are entered in a prompt, efficient and thorough manner. The position involves the processing of day of shift absences and the rostering of staff to day of shift vacancies. Communicating with staff at all levels of the organisation both in person and over the telephone.
Key accountabilities include:
- Enter all planned rosters, leave and changes to planned rosters, leave management and updates in according to business requirements on the computerised rostering system.
- Roster the most appropriate resource to vacancies for the daily day of shift unplanned absence in accordance with NSW policy and procedure and inform Team Leader Absence Coordination Line if vacancies to staffing numbers or changes on the roster are unable to be filled.
- Review and action notifications of unplanned absences and ensure appropriate escalation and notification occurs in accordance with standard procedures and policies.
- Call staff to roster and confirm shifts as requested by the Team Leader Absence Coordination Line and rostering policies and maintain and update all casual and part-time staff rosters within Roster.
- Assist in the processing of rostering, timesheet processing and general enquiries.
- Liaise with local managers to amend staffing on stations to attain the optimal skill mix and ensure all staffing numbers are accurate on each station, on each shift. Flag problem areas to the Team Leader Absence Coordination Line, for direction and clarification
- Experience in a similar environment (call centre and rostering)
- Computer literacy with demonstrated experience in the use of windows based computer applications and the ability to transfer voice activated information into computerised data entry system.
- Demonstrated ability to learn legislative requirements, organisational policy and procedures associated with the management of a contemporary people and culture service area.
- High level interpersonal skills enabling effective communication with diverse groups of people, with a customer focus whilst working independently or as part of a team
