Part time: 25/hr per week (4 or 5 days in office)
Overview:
Procurement (order and invoice processing - majority of time - request quotes raise order process invoice - $ value have different processes), minute taking, document generation (e.g., excel worksheet, briefing note, save in iShare), admin support for ICT
Key Accountabilities
- Raise purchase requisitions and orders, and reconcile invoices against approved ICT purchases.
- Prepare and format documents, reports, presentations, briefing notes, correspondence and meeting minutes.
- Register, maintain and manage ICT records and documentation using Council's document management systems.
- Create and maintain databases, spreadsheets and other administrative records to support ICT operations.
- Provide administrative support to the ICT team, including assisting the Service Desk with phone enquiries and walk-in requests.
- Assist with budget preparation, monitoring and financial administration.
- Support ICT procurement activities and assist with contract administration.
- Maintain ICT hardware and software asset registers, ensuring accurate tracking and lifecycle management.
- Coordinate and distribute ICT information, maintain procedural documentation and support risk mitigation activities.
- Develop a practical understanding of ICT-supported systems to provide effective administrative and user support.
- Analyse internal processes and user trends to identify opportunities for continuous improvement and increased operational efficiency.
- Undertake additional duties within the scope of the role, skills, training and competence as required.
About You
To be successful in this role, you will have:
- Experience in an administration, business support or ICT support role, ideally within local government, government or a corporate environment.
- Proven procurement administration experience, including obtaining quotes, raising purchase orders, processing invoices and supporting contract administration.
- Strong administrative skills, including preparing reports, briefing notes, presentations, correspondence and meeting minutes.
- Experience using document management systems (e.g. iShare, TRIM or similar) and maintaining accurate records.
- Proficiency in Microsoft Office Suite, particularly Excel, Word and Outlook.
- Excellent organisational, communication and customer service skills, with the ability to manage competing priorities.
- Experience supporting budgets, maintaining databases or asset registers, and contributing to process improvements.
- Strong attention to detail, problem-solving skills and the ability to work collaboratively within a busy ICT team.
- Previous Local Government or Public Sector experience.
- Experience supporting an ICT team.
- Knowledge of TechnologyOne, iShare, TRIM or ITIL principles.
